The client is a US-based online retailer of automotive aftermarket parts and accessories. With a strong e-commerce presence and a robust platform, they simplify vehicle maintenance and repair for their customers by offering a massive selection of guaranteed-fit automobile parts.

Business Needs | Challenges in Existing Procurement Process

The organization faced significant challenges in the procurement cycle due to inefficiencies.

  • Their existing purchase tool was slow, not user-friendly, and lacked the necessary features to support the full procurement cycle.
  • The overall purchase process was fragmented and involved multiple manual, discrete steps, which hindered efficiency.
  • Frequent errors occurred during purchase order creation and rectifying them was time consuming.
  • There was no centralized platform to consolidate and manage the purchase-related data effectively.

Solutions | Enabling Data-Driven Procurement Efficiency

To address the process inefficiencies, a unified purchasing management application was implemented, bringing purchase process automation, accuracy, and visibility across the entire procurement lifecycle.

We automatically generated a weekly Buying File using sales data from all channels. It identified inventory requirements and effectively supported both regular and seasonal cycles with configurable settings.

By utilizing historical sales, seasonality, and inventory metrics, the system generated SKU-level forecasts—including buy, demand, and sales—based on predefined business rules.

Once the Buy File was ready, RFQs were floated to vendors, triggering a negotiation cycle for pricing and quantities. Finalized RFQs triggered the automated Purchase Order generation, reducing manual effort and errors.

The system supported multi-container and partial deliveries, ensuring accurate tracking and receipt of goods at the warehouse.

We incorporated Gross Margin Return on Investment (GMROI) analytics, helping business users evaluate product profitability and make informed decisions on product continuation. The application also integrated with ERP, ensuring smooth handling of financials, vendor data, and supplier records.

We developed a real-time procurement dashboard that provided a comprehensive view of procurement activities, including price trends, demand, inventory, and cost returns, empowering users with actionable insights.
