• The client is a multi-billion-dollar global IT distributor and solutions aggregator, empowering global partners to simplify the complex technology deployments. 

The client sought a standardized and scalable solution for automated extraction and processing of vendor invoice data received through multiple communication channels and formats. To support this, the following capabilities were required:

• Ability to extract invoice data from structured and unstructured emails & documents.
• A uniform scalable process that can support multiple partners.
• Intelligent detection of the correct document format to recognize vendor invoices.
• Adherence to defined SLAs with improved accuracy of data extraction.
• API-based integrations capability to return data back to the originating system. 

• We devised a two-pronged smart invoicing solution to handle multi-modal inputs:
• We used OpenAI assistants to extract invoice details from text-based emails and attachments.
• We utilized OpenAI - Azure Document Intelligence to extract data from image-based sources.

These digital assistants were fine-tuned to improve extraction accuracy, thereby meeting business requirements.

• Our team also developed third-party integrations with the following:

1. The client's email extraction system, which forwarded vendor/partner invoice emails to bots for processing.
2. SAP, to input the extracted data into the appropriate tables.
3. Microsoft 365 services, to facilitate smooth email handling. Our team enabled the capability to send summarized emails about failed transactions, encouraging users to initiate the process again.

• Furthermore, we developed a dashboard to display the total hours saved by the solution compared to manual processing. 

• Improved the accuracy of document content retrieval with OpenAI
• Increased the volume of invoices processed in bulk within a relatively short span of time, adhering to processing SLAs
• Effectively scaled operations to multiple vendors by activating a master flag in the run configurations.
